5 Signs It's Time to Rethink Your Company's Dental Benefits
Most employers don't decide to switch dental plans because of one bad renewal. It's usually a handful of smaller frustrations that build up over a year or two until the plan just stops making sense. Here are the five we hear most often.
1. Your renewal went up and utilization didn't
If premiums are climbing but your employees aren't using meaningfully more dental care, the increase is funding something other than claims, typically the carrier's network contracts and administrative overhead. A fixed premium doesn't move with actual usage, so a low-utilization year still costs the same as a high one.
2. Employees keep asking why their dentist is out-of-network
Provider networks are the single biggest source of dental benefit complaints HR teams hear. An employee finds a dentist they like, switches jobs or plans, and discovers that dentist is suddenly out-of-network and more expensive. It's a friction point that has nothing to do with the quality of care.
3. Claims and reimbursement questions eat up HR's time
If your team is regularly fielding “why wasn't this covered” or “where is my reimbursement” questions, that's a sign the plan's administration is leaking into day-to-day HR work instead of being handled automatically.
4. You can't get clear reporting on where the money goes
Traditional carriers often provide utilization reports well after the fact, if at all. Finance teams that want real-time visibility into spend, by category of care or by location, frequently find themselves waiting on a broker or account manager to pull a report.
5. Your headcount has changed but your plan design hasn't
A plan structured for a 500-person company doesn't necessarily fit the same way at 150, or at 1,500. If plan design hasn't been revisited since it was first set up, it's worth checking whether it still matches how your workforce actually uses dental care today.
None of these are reasons to panic, but together they're a reasonable prompt to look at alternatives. Direct reimbursement is one of them, worth a look if network restrictions and premium creep are the recurring themes.
